BOOTH LOCATION SPECIFICS:
Spaces will be on grass. All of your items/inventory must be contained within your booth space, regardless of location. If you would like to request a specific booth or location, please enter your request here. While we will do our best to accommodate you, please know that booths are assigned on a first-come, first-served basis, so apply and request your spot early! Priority is given to returning exhibitors.

SET-UP TIME:

Exhibitors must transport their items from the parking lot to their assigned booth space for set up between 6:00 a.m. to 8:00 a.m., prior to the start of the show. Prior to the event, you will receive a separate communication that will provide your exact arrival time and gate information. St. Petersburg College regulations prevent driving directly onto the grass where the event will take place. You may temporarily park at your assigned unloading area to unload your inventory. Once your inventory is unloaded from your vehicle, please move your vehicle to the assigned exhibitor parking. You will need to make arrangements to get your inventory to your assigned booth location. GFWC NPWC volunteers will be onsite to assist in directing exhibitors to their assigned booth space. All booths must be set up and ready to go by 8:00 a.m.

MY PRODUCTS:
In order to maintain a diverse and exciting show for customers, we will limit the number of exhibitors selling similar types of products. Exhibitors will be categorized and selected based on the description and photographs provided. Please be specific in your description!

DETAILED PRODUCT DESCRIPTION:

Please describe, in detail, all items you plan to exhibit or sell at the show (be specific). This information will be used by our team as part of the exhibitor selection process:

SOCIAL MEDIA POST DESCRIPTION:
Write a brief description (under 450 characters) to advertise and promote the items you will be selling. We will use your description in social media postings. (Example: "Beautifully handmade women's scarves in a variety of prints, colors, and sizes. Embellished with Swarovski crystals, rhinestones, and gems. Makes a great gift or stocking stuffer. Stop by and find the perfect one for you and one for a gift.")

UPLOAD PHOTOS:

Submit good-quality photos of all of your products/crafts/artwork that you plan to exhibit or sell at the show. If you display wares not included in these pictures, you will be asked to remove those items from your booth. We require that you attach a minimum of one photo and a maximum of three photos. Maximum size for each photo is 6MB. file types accepted: jpg, jpeg, png. The uploaded photos will be used during the selection process and, if the quality of the photo(s) is high enough (not blurry or low resolution), will be used together with your social media post description to advertise your business on social media.

AGREE TO TERMS AND SIGN APPLICATION

I hereby make application to participate in the GFWC North Pinellas Woman’s Club Foundation, Inc. Christmas Under the Oaks. I have read, understand and agree to abide by the rules and regulations set forth and other rules as may be established. I agree to indemnify and hold harmless St. Petersburg College and the GFWC North Pinellas Woman’s Club Foundation, Inc., their representatives and committees, and to accept all liability arising out of or resulting from accident, illness, sickness and personal injuries (including death) occurring to persons on college premises and/or damage to property of the College, to property of others during time of use, and to damage to my property arising out of volunteer assistance that I accepted for the purpose of loading and unloading of my items. I agree to indemnify and hold harmless the GFWC North Pinellas Woman’s Club Foundation, Inc., their representatives and committees, from responsibility, personal liability, loss, claim or damages arising out of, or in conjunction with the GFWC North Pinellas Woman’s Club Christmas Under the Oaks. I understand that there are no rain dates.

GFWC North Pinellas Woman's Club has modified the refund policy for the Christmas Under the Oaks event. Payment will be refunded in full if the event is canceled by GFWC North Pinellas Woman's Club, Inc. or due to an act of God, and if it is not rescheduled. Under all other circumstances, payment is non-refundable and non-transferable.

I hereby grant GFWC North Pinellas Woman’s Club permission to reproduce, display, and otherwise use for publicity and promotional purposes the show participant’s name, photographs, and descriptive information submitted with this application, as well as photographs or video taken of the show participant during this show to be used for promotion of future shows.
